How we handle your data

What we collect

Your name, email address and password (stored as a one-way hash), the answers and records you enter, and the usual technical logs needed to run the service securely.

How we use it

To prepare your figures, to sort the records you upload (transaction descriptions may be sent to an AI service for categorisation; nothing identifying you is sent alongside them), to take payment when you choose a paid plan, and to email you about your account.

Where it lives

Data is stored in the European Union on infrastructure we control access to. Secrets are encrypted at rest. Sessions expire after inactivity.

Your rights

You can change or export your details from your account at any time and delete your account from the same place. Closed accounts are removed after 30 days. A free account that has not been signed in to for 24 months, with nothing filed, is emailed twice and deleted at least 30 days after the second email; signing in resets this. Each tax-year file, with its receipts, is kept for 7 years after that tax year's 31 January filing deadline while your account keeps paying (a Single return bought for the current tax year, or a subscription) and removed on the following 1 March. If your account is not paying for a return or a subscription, each file is kept for a year's grace — a year after its filing deadline, or a year after the deadline of your last paid tax year if later — and removed the month after; paying again puts every file back on the 7-year rule. Either way the account owner is emailed six months, a month and a week before, and once more when it has gone.

If your accountant uses swiftmore for you

Accountancy and bookkeeping practices can use swiftmore to keep their clients' records and prepare their returns. If yours does, your records sit in the practice's account, not in an account of your own. For that data the practice is the controller and we process it on the practice's instructions as its processor, under our Data Processing Addendum. Ask the practice first about what is held, to see or correct it, or to have it deleted; it can export or delete your file at any time. If you are worried about the security of your data you can also write to us. If you have your own swiftmore account and share a file with your accountant, that file stays yours under this notice and you can withdraw the access at any time.
